How to compare AC replacement estimates.

Two AC proposals can have very different scopes behind their total prices. Use this checklist to compare equipment, installation work, exclusions, and warranty terms before approving a replacement for your home.

Compare the same project, line by line.

Start by asking each provider for a written proposal specific to your home. Record the items below for each estimate and mark anything unclear as a question. A blank line is a reason to ask, rather than assume that work or coverage is included.

CompareWhat to request in writing
EquipmentExact indoor and outdoor model numbers, capacity, proposed controls, and the equipment combination’s efficiency rating.
SizingHow capacity was selected for your property and which home or duct conditions were considered.
Removal and installationRemoval and disposal of existing equipment, new equipment placement, connections, and included installation tasks.
Related workAny included duct, electrical, drainage, equipment-support, or thermostat work; identify components to be reused.
Permits and inspectionsWhether they apply, who arranges them, and whether their costs are included.
Startup and handoverChecks included after installation and the records, operating instructions, and follow-up contact you receive.
Price and exclusionsTotal installed price, itemized allowances where relevant, exclusions, and conditions that may change the price.
Payment and changesPayment stages, proposed schedule, and how additional work must be approved.
WarrantySeparate manufacturer and installer terms, registration obligations, parts and labor coverage, exclusions, and claim contact.

1. Match equipment before comparing totals

A brand name alone does not identify the proposed system. Ask for model numbers and the specified indoor/outdoor combination. Different capacities, efficiency levels, and controls can make proposals materially different. Ask why the proposed option fits your home.

2. Ask what the installation includes

Clarify which existing components remain and what is replaced or modified. Ask how site access and any known property constraints affect the work. A lower estimate may cover a different scope; an added task should have an explanation and price.

3. Resolve allowances and exclusions

Highlight wording such as “as needed,” “by others,” or “additional charge.” Ask what triggers the extra cost, whether a price or allowance can be stated, and whether written approval is required before proceeding.

4. Read warranty terms separately

Ask who covers parts, labor, diagnostic visits, and other service charges. Confirm who completes registration, any maintenance requirements, and the business to contact for a claim. Keep the actual warranty documents with the invoice.

5. Confirm the people and paperwork

Identify the business responsible for installation and follow-up. Ask how to verify applicable credentials and insurance, and which permit or inspection steps apply. Confirm scheduling, payment milestones, and what happens if the scope changes.

Questions to send with your estimate request

  • What exact equipment combination and capacity are proposed, and why?
  • Which installation tasks and related property work are included?
  • What is excluded or subject to an allowance?
  • Who handles any applicable permits, inspections, and fees?
  • What written approval is needed for additional work?
  • What parts and labor warranty terms apply?
  • What startup checks and handover records will I receive?

Keep repair and replacement options distinct

If replacement is being proposed after a breakdown, ask for the diagnosis and any reasonable repair option. Our AC repair versus replacement guide helps frame that earlier decision. A replacement estimate comparison does not substitute for assessing the existing system.

Efficiency is one part of the decision

The Department of Energy notes that equipment sizing and installation can affect efficiency and comfort. Compare the specified equipment and installation plan together. Do not treat a quoted efficiency rating as a guarantee of a particular utility bill.

Common questions

Know what to ask.

Is the cheapest AC estimate always the best choice?

Compare the equipment, included work, exclusions, and warranty terms first. Different prices may describe different projects.

Can I compare proposals that list only a brand?

Ask for exact model numbers, capacity, and the equipment combination’s efficiency rating so you can understand what is being offered.

Should I ask for an itemized estimate?

Ask for enough written detail to identify included work, allowances, exclusions, total price, and terms. Clarify ambiguous items before approving the project.
